PhD Roles

The first cycle starts effective immediately and will last only one term, till April 20th. In this way we can reassess assignments and duties.

As a general rule, a single person should not take on more than two roles. In the case volunteers are missing, this rule can be bent.

Roles Description

Seminar Organizer

  • Schedule and manage weekly seminars/talks: manage the order of the talks, send weekly reminders, coordinate with administrative staff to book the room.
  • Coordinate with researchers, students, and external speakers: collect names of potential external speakers that we would like to have invited, or topics we would like to hear about, contact external speakers consequently.
  • Maintain logs of presentations for future reference.

Wiki Admin

  • Set up the group wiki and update it regularly (basic maintenance). Ensure content remains relevant and accessible.
  • Handle the room monitor:
    • Keep the room's monitor functional and enjoyable.
    • Resolve technical issues – the PC keeps freezing.
    • Extend the room monitor to the new room.

Quartermaster

  • Oversee desk and room assignments based on presence (full time vs. few days a week vs. almost never present) and role (PhD candidate vs. student).
  • Coordinate with administrative staff for final approvals (to avoid any abuse).
  • Keep an internal document updated about the desk and room assignments.

Conferences and Grants Coordinator

  • Track major conference deadlines, grant opportunities, and summer/winter school options.
  • Share updates and reminders with group members.

Onboarding Coordinator

  • Immediate and short-term assistance to new members with basic onboarding, including desk setup, introduction to group norms, basic technical assistance.
  • Buddy system coordination: assign a buddy to the newcomer for long-term assistance.

THS Website Overlord

  • Oversee the development and updates of the Twente Hacking Squad (THS) website.

CTF Captain

  • Plan and organize Capture the Flag (CTF) events for THS, possibly in collaboration with other universities.

THS Training Coordinator

  • Manage logistics for training sessions, including room bookings, calendars, and communication.
  • Ensure the schedule is updated on the website.

Sorter

  • Keep shared spaces (PhD rooms, coffee room) tidy.
  • Maintain an inventory of books and group resources in the wiki.
  • Handle poster placements in the hallway: there are a few new posters to hang, posters should be sorted to be as close as possible to the author’s room. In case of space constraints, the Sorter should prioritize the poster based on work’s relevance and year of publication.
  • Clean the PhD room’s door, remove old memes, or move them.

Social Media Manager

  • Manage communications about the group’s achievements (paper publications, awards winning, etc.) or events.
  • Forward relevant information to administrative staff or directly to social media platforms.

Social Event Organizer

  • Organize group-level events.

This mailing list is to send emails to all members of the cybersecurity subgroup of SCS. The list is actively maintained by the secretaries. Use it responsibly to fulfill your role, for instance to send notifications about seminars (Seminar Organizer), about grants (Conferences and Grants Coordinator), about THS sessions (THS Training Coordinator).
