==== During the second half of first year ====
  * **Qualifier**.
  * **Promoter appointment** //(after Qualifier)//: Appointment of 1-2 promotors and 1-2 co-promotors.

==== At least 6 months before the defense ====
  * **Portfolio approval**: approval of qualifier reports, annual interviews, and T&SP by TGS.
  * **Draft submission** //(after Portfolio approval)//: Candidate submits draft dissertation in Hora Finita (HF).
  * **Statement of near completion** //(after Draft submission, within 2 months)//: Promoter approves the draft dissertation in HF; this triggers the START of the graduation procedure.
  * **Propositions submission** //(after Statement of near completion, optional)//: Candidate submits propositions to the promotor for assessment.
  * **Ceremony date reservation** //(after Statement of near completion, no more than 8 months before the defense)//: Candidate reserves a ceremony date in HF.

==== At least 4 months before the defense ====
  * **Proposal for Graduation Committee**: Promoter submits proposal of Graduation Committee via Faculty Dean to the Doctorate Board (in HF).

==== At least 3 months before the defense ====
  * **Final manuscript submission**: Candidate uploads the dissertation manuscript in HF.
  * **Final dissertation approval** //(after Final manuscript submission)//: (Co)promoters approve final dissertation manuscript.
  * **Graduation Committee establishment** //(after Final dissertation approval)//: Doctorate Board formally establishes the Graduation Committee based on the promotor’s proposal and Faculty Dean’s approval, the approved manuscript is sent to the Graduation Committee.
  * **ISBN/DOI request** //(after Graduation Committee establishment)//: Candidate requests an ISBN/DOI from the university library (see [[https://www.utwente.nl/en/service-portal/university-library/publication-archiving/apply-for-isbn-doi|link]]).

==== At least 6 weeks before the defense ====
  * **Graduation Committee review** //(after Graduation Committee establishment, within 6 weeks)//: The Graduation Committee issues its judgement on the quality of the dissertation and decides on the admission of the candidate to the defense (the Secretary of the Graduation Committee notifies the Doctorate Board via the Faculty Dean’s office in HF).
  * **Title page submission** //(after Graduation Committee review)//: Candidate submits the title page to HF.
  * **Title page approval** //(after Title page submission)//: Doctorate Board assesses and approves the title page.
  * **Thesis printing** //(after Title page approval)//: Candidate gets permission to print the dissertation from Secretary of Graduation Committee (i.e., Faculty Dean), and prints the manuscript.
  * **Cum Laude proposal**: Promoter or a Graduation Committee member may propose awarding Cum Laude, after consulting the Faculty Dean via written proposal.

==== At least 2 weeks before the defense ====
  * **Submission to university library**: Candidate submits 2 physical copies and a digital copy of the dissertation, and short summary (250-300 words) to the university library.
  * **Beadle appointment**: Candidate schedules an interview with the Beadle to discuss ceremony procedures, and provides the Beadle with 12 printed copies of the dissertation.
  * **Chair appointment**: Candidate schedules a meeting with the Chair of the Graduation Committee to discuss the defense procedure.

==== At least 1 week before the defense ====
  * **Audience opposition requests**: Doctorate holders, associate professors, or professors not on the Committee may submit a written request to the Chair of the Doctorate Board to ask questions during the defense, participating from the audience.

==== Other notes ====
  * **Contact the Beadle**: Candidate should contact the Beadle (pedel@utwente.nl, tel. 053 4895899) in good time for ceremony arrangements.
  * **Post-defense reception**: If desired, candidate should contact Catering (06-18414331) to organize a reception after the defense.
